A black tie wedding does not have to feel distant. Here is how we designed one that felt warm for every guest.
In this post you will find the design and planning choices behind a formal evening at Rancho Valencia.
In September, Brittany and Austin welcomed 133 guests to Rancho Valencia for their wedding weekend. The dress code was black tie, for the guests and for every vendor, including our team. Formal attire is one of the clearest trends we see this year. However, a formal evening can easily feel stiff. Our work was to make it feel warm and personal from the first song to the last.

Why Couples Are Choosing a Black Tie Wedding Again
A black tie dress code sets the tone before guests arrive. It tells everyone that the evening matters. Moreover, it gives the design a clear standard to meet. For example, the textiles, the chairs, and the flatware must match the formality of the attire. However, formal does not mean cold. Instead, we balance structure with color, texture, and the music the couple loves. As a result, the evening feels elegant and relaxed at the same time.In practice, black tie also helps the guests. They know exactly what to wear, so no one feels out of place. Moreover, the photos look consistent from the ceremony to the last dance.
Designing the Ceremony on the Valencia Lawn
The ceremony took place on the Valencia Lawn at 5:00 pm. We set an eight foot aisle with raw bentwood chairs, five to a row. Leah Mai Floral Design created a large half moon ground arch in white flowers. In addition, the aisle florals moved from white to color.
Meanwhile, a pianist and a violinist played live as guests arrived with a glass of cava. Because the ceremony was unplugged, guests stayed present for every moment. Before guests arrived, our team checked that every chair was straight. As a result, the drone photos show a clean and even aisle.

A Black Tie Wedding Reception in Color
Cocktail hour and dinner took place on the Croquet Lawn. We enclosed the dinner in a draped structure, so it stayed hidden during cocktail hour. At 6:35 pm, the MC announced dinner and the curtains opened. Indeed, the true sunset came at 6:50 pm, just as guests found their seats. For this reason, guests saw the full room for the first time in the best light of the day.
We layered the tables with care. We dressed the oval tables in copper textiles, the tables under the trees in burgundy, and the rounds in apple green. Orange chargers and brass flatware completed each place setting. In addition, the menus doubled as meal cards, so each guest saw their own entree. As a result, the tables felt formal, yet full of warmth.

The Production Behind a Formal Evening
A formal evening only feels effortless when the production is exact. For this wedding, each member of our team had a zone and a time for every task. Therefore, every vendor worked from the same master timeline, with arrival times and setup lists. For instance, right after the welcome speech, the rental team moved the lounge pieces from cocktail hour to the ballroom. Because of this, the after party was ready by 8:30 pm. My background in hotels and catering also shaped the dinner plan. The kitchen served a lobster risotto, a farm salad, and a choice of three entrees. Servers poured wine at the table, so the bar could close during dinner. In practice, this keeps guests seated and the courses on time. Our post on the wedding production schedule for a three day weekend shows how we build this plan.

From Dinner to the After Party
At 9:55 pm, the band played its last song, and a saxophonist led guests to the ballroom. We dressed the room in dark green velvet draping with silver disco balls. The florist repurposed the reception flowers, and candles warmed the room. Then two DJs kept the dance floor full late into the night. Meanwhile, shuttles ran to the off property hotel we used to support the Rancho Valencia room block, at set times, so every guest had an easy way home. This is what luxury wedding planning looks like from the inside. When design and execution receive equal care, a black tie wedding feels effortless for the couple and the guests.
